While I am a firm believer in the value of events, especially for small charities, I can almost promise you that you will never have an event that goes perfectly to plan. Some will be better than most, but there will always be room for improvements. Others will be complete nightmares, either from poor planning or from events beyond your control.

Like the 25th anniversary party, I worked on for an arts council. The invitations were scheduled to go on September 11th, 2001. Of course, you only have one 25th anniversary so after consulting with my committee we went ahead. But the morning of the event was the day that the attack began on Afghanistan.

So how do you cope? How do you learn from your mistakes? The answer lies in always performing a post event evaluation. But who should be involved? When should you do it? And what questions should you ask?

The key people including staff and volunteers involved in the event as well as any active donors should perform an event evaluation as soon as possible after your event. It can actually be a fun way of thanking and recognising your volunteers. A lunch or coffee/tea is an excellent informal option.

So what questions do you pose as you sip your tea? Always begin with the positive; what do you think was best about the event. Listen carefully as you may be surprised at some answers. Take notes for later. When looking at the negatives pose the question in a positive light: what can we do to improve our event in the future. One other question to always include is what next; specifically what follow-up contacts need to be made and by whom.

The information you gain from these evaluation exercise will be priceless. It will help you to not only improve your events, but engage your staff and volunteers. And that gives you the momentum you need for your next spectacular event...whatever it may be.
